Merit & Rewards
The Merit & Rewards system lets your school recognise and reward positive student behaviour. School administrators can define award categories, set milestone rewards, configure leaderboard visibility, and view analytics on how the merit system is being used across the school.
Merit & Rewards is a feature-gated module. If you do not see it in your sidebar, contact your super administrator to check your school's subscription tier.
Accessing Merit & Rewards
- Log in as a school administrator.
- Navigate to Merit & Rewards from the sidebar. This opens the Student Recognition page, where you can award points directly.
- Click Settings to open the Merit & Rewards management page described in the rest of this guide.
- Use Award Points here to award points or record a behaviour incident directly.
- Click Settings to manage award categories, milestones, and leaderboard settings.
- The Overview tab is the default view, showing totals and recent awards.
Tabs Overview
The Merit & Rewards management page has four tabs:
| Tab | Purpose |
|---|---|
| Merit Analytics | Dashboard with charts, top teachers, and leaderboard |
| Award Categories | Define the types of merit awards teachers can give |
| Milestone Rewards | Set point thresholds that trigger rewards |
| Merit Settings | Feature toggle and leaderboard visibility |
- Export Report downloads the analytics as an Excel spreadsheet.
- Merit Analytics — the dashboard shown here.
- Award Categories — define the types of awards teachers can give.
- Milestone Rewards — set point thresholds that trigger rewards.
- Merit Settings — the feature toggle and leaderboard visibility.
Analytics Dashboard
The Analytics tab provides an overview of how the merit system is being used:
- Summary statistics — Total points awarded, number of awards given, top categories.
- Top teachers — Teachers who have given the most awards.
- Leaderboard — The top students by total merit points.
- Filters — Narrow analytics by academic year, class, or date range.
You can Refresh the data or click Export Report to download the analytics as an Excel spreadsheet, using the buttons in the page header.
Managing Award Categories
Award categories define the types of behaviour your school wants to recognise. Categories come in two types: Merit (positive, e.g. "Excellent Homework", "Helping Others", "Sports Achievement") and Demerit (negative, e.g. behaviour incidents).
Creating a Category
- Go to the Award Categories tab.
- Switch to the Merit Categories or Demerit Categories sub-tab depending on the type you want to create.
- Click Add Merit Category (or Add Demerit Category on the Demerit sub-tab).
- Fill in:
- Name — The category name.
- Description — What this category recognises.
- Default Points — The default number of points awarded for this category.
- Icon — Visual identifier for the category.
- Click Save.
Editing a Category
- Find the category in the list.
- Click the Edit button.
- Update the details as needed.
- Click Save.
Deleting a Category
- Click the Delete button next to the category.
- Type CONFIRM in the confirmation box, then click Delete.
Deleting a category does not remove points that were previously awarded under it. Historical records are preserved.
Managing Milestones
Milestones are point thresholds that trigger a reward or recognition when a student reaches them (e.g., "Bronze Badge at 100 points", "Silver Badge at 250 points").
Creating a Milestone
- Go to the Milestone Rewards tab.
- Click Create Milestone.
- Fill in:
- Name — The milestone name (e.g., "Bronze Achievement").
- Description — What the student receives (e.g., a certificate, badge, or prize).
- Points Required — The number of points required to reach this milestone.
- Icon and Badge Colour — Visual identifiers for the milestone.
- Click Save.
Editing and Deleting Milestones
Use the Edit and Delete buttons in the milestones list to modify or remove milestones. Deleting requires typing CONFIRM in the confirmation box.
Configuring Settings
Enabling/Disabling the Merit Feature
The Merit Settings tab includes a toggle to enable or disable the entire merit system for your school. When disabled, teachers cannot award merit points and the leaderboard is hidden.
- Go to the Merit Settings tab.
- Toggle the Merit & Rewards Enabled switch.
Leaderboard Visibility
Control who can see the merit leaderboard:
| Option | Description |
|---|---|
| Public | All users (students, guardians, teachers) can see the full leaderboard |
| Anonymised | Students can see rankings but names are hidden for other students |
| Own Position Only | Students can only see their own position and points |
| Staff Only | Only teachers and administrators can see the leaderboard |
- Go to the Merit Settings tab.
- Select the desired visibility option.
- The setting saves automatically when you select a new option.
If your school has concerns about competitive pressure, consider using "Own Position Only" or "Staff Only" mode. You can always change this setting as you learn what works best for your school community.
Tips
- Start with a few categories — Begin with 5--10 well-defined categories and add more as teachers identify additional behaviours to recognise.
- Set achievable milestones — Make sure the first milestone is reachable for most students to encourage participation early on.
- Review analytics regularly — Use the analytics dashboard to check whether all teachers are using the system and whether points are being distributed fairly across classes.
- Communicate with guardians — Let guardians know about the merit system so they can celebrate their children's achievements at home.
