Student Wellbeing
The Wellbeing module provides a central place to store and manage important information about each student's dietary needs, medical conditions, religious considerations, special educational needs (SEN), and risk indicators. This information helps your school provide appropriate support and care for every student.
Accessing Wellbeing Information
Wellbeing data is accessed through individual student profiles:
- Log in as a school administrator.
- Navigate to User Management or Classes and find the student.
- Click on the student's name to open their profile.
- Select the Wellbeing tab.
Wellbeing Profile Sections
Each student's wellbeing profile is organised into several sections:
- Edit Dietary Requirements — restrictions and food allergies.
- Edit Medical Information — conditions, medications, allergies, and care plan.
- Edit Religious & Cultural considerations.
- Edit Special Educational Needs (SEN) status and provisions.
Dietary Requirements
- Dietary Restrictions — Categorised dietary requirements such as vegetarian, vegan, pescatarian, halal, kosher, gluten-free, dairy-free, nut-free, or other.
- Food Allergies — Specific food allergies that need to be accommodated.
Medical Information
- Medical Conditions — Ongoing health conditions (e.g., asthma, diabetes, epilepsy).
- Medical Allergies — Allergies to medications or substances.
- Medications — Current medications the student takes, including dosage and timing.
- Care Plan — Whether the student has a care plan and a summary of its contents.
If a student has significant medical information recorded (allergies, medications, conditions, or a care plan), a medical alert banner is displayed at the top of their profile. This ensures that anyone viewing the student's profile is immediately aware of important health information.
Religious & Cultural
Religion, religious observances, and cultural practices that the school should accommodate.
Special Educational Needs (SEN)
- SEN Status — Whether the student has no SEN, is receiving SEN Support, or has an Education, Health and Care Plan (EHCP).
- SEN Provisions — Additional information about the student's educational needs and support arrangements.
Risk Indicators
Risk indicators flag students who may need additional support or safeguarding attention:
- LAC — Looked After Child (in local authority care)
- CIN — Child in Need (receiving support from children's services)
- CP — Child Protection (subject to a child protection plan)
These indicators are visible to authorised staff to ensure appropriate support is provided.
- LAC — Looked After Child.
- CIN — Child in Need.
- CP — Child Protection.
- Optionally block guardian access to their wellbeing information.
Editing Wellbeing Information
- Open the student's wellbeing profile.
- Click on the section you want to edit.
- Update the information as needed.
- Click Save to apply changes.
School administrators and authorised staff can directly edit wellbeing profiles. Guardians can submit update requests (see below) but cannot edit profiles directly.
Emergency Contacts
Each student can have multiple emergency contacts recorded:
- Open the student's profile.
- Select the Emergency Contacts tab.
- Click Add Emergency Contact.
- Fill in:
- Name — The contact's full name.
- Relationship — Their relationship to the student (e.g., "Mother", "Uncle", "Family Friend").
- Phone Number — A contact phone number in international format.
- Click Save.
You can add multiple emergency contacts and drag to reorder their priority.
- Add Emergency Contact opens the creation form.
- Drag a contact to reorder its priority.
- Edit an existing contact.
- Remove a contact.
Guardian Update Requests
Guardians can submit requests to update their child's wellbeing information. These requests require staff review before the changes are applied.
Reviewing Update Requests
- Navigate to Approvals in the sidebar, then select the Wellbeing tab to open the update requests queue.
- The queue shows all pending update requests with:
- Student name
- Guardian who submitted the request
- Section being updated (dietary, medical, religious/cultural, or SEN)
- Submission date
- Status — Pending, Approved, Rejected, or Partially Approved
- Click on a request to view the proposed changes.
- The Wellbeing tab, alongside Registrations and Anonymisation.
- Filter by status.
- Filter by section.
Approving or Rejecting a Request
- Open the request detail view.
- Review the proposed changes compared to the current data.
- Click Approve to apply the changes to the student's profile, or Reject to deny the request.
- If rejecting, provide a reason that will be communicated to the guardian.
Filtering Requests
Use the filters to narrow the queue:
- Status — Show only pending, approved, rejected, or partially approved requests.
- Section — Filter by the type of information being updated.
Tips
- Keep profiles up to date — Review wellbeing profiles at the start of each academic year and ask guardians to confirm or update their child's information.
- Act on risk indicators promptly — Students flagged with LAC, CIN, or CP indicators should have their support plans reviewed regularly.
- Process update requests quickly — Guardians expect timely responses when they submit wellbeing updates, especially for medical information.
- Use emergency contacts wisely — Ensure every student has at least one emergency contact, and verify contact details are current.
