User Management

The User Management page is your central hub for managing everyone who has access to your school on Tawaasal. You can add new users, edit their details, manage their roles, and deactivate accounts that are no longer needed.

Accessing User Management

  1. Log in as a school administrator.
  2. Select Users & Teams in the sidebar. The page opens as User Management.

Viewing Users

  1. Switch between Users and Teams.
  2. Narrow the table to one user type: admins, teachers, staff, students or guardians.
  3. Add User opens the creation form for the selected user type.
  4. Search by name or email, and filter by status or role.

The User Management page displays a table of all users in your school. You can:

  • Filter by role — Show only teachers, students, guardians, or staff.
  • Search — Use the search bar to find users by name or email.
  • Sort — Click column headers to sort the list.

Adding a New User

  1. Click the Add User button at the top of the page.
  2. Fill in the required fields:
    • First Name and Last Name
    • Email Address
    • Role — Select from: School Admin, Teacher, Student, Guardian, or Staff
  3. Complete any additional role-specific fields (for example, class assignment for students).
  4. Click Save to create the user.
Bulk Operations

If you need to add many users at once, check the Data Management area for import options that allow you to upload user data from a spreadsheet.

The new user will receive an email invitation with instructions to set up their password and log in.

Editing a User

  1. Find the user in the list.
  2. Click on their name or the edit action.
  3. Update the fields as needed (name, email, role, class assignment, etc.).
  4. Click Save to apply changes.

Deactivating a User

When a user leaves the school or no longer needs access:

  1. Find the user in the list.
  2. Open their profile or click the deactivate action.
  3. Confirm the deactivation.
Deactivation vs. Deletion

Tawaasal uses deactivation rather than permanent deletion. A deactivated user cannot log in, but their historical data (attendance records, grades, homework submissions) is preserved for record-keeping. This is important for audit trails and compliance.

Approving Pending Registrations

If your school allows self-registration (for example, for guardians), new accounts may require your approval before they become active:

  1. Select Approvals in the sidebar. The page opens as Pending Approvals.
  2. Review each pending registration.
  3. Approve or Reject each request.

Approved users will receive a confirmation email and can start using the platform immediately.

Managing Roles and Permissions

Tawaasal uses a role-based permission system. Each user is assigned a role that determines what they can see and do:

StudentView own homework, grades, attendance, and merit points
GuardianView linked children's homework, grades, attendance, and merit
StaffVaries by configuration — may include safeguarding, wellbeing, merit

To customize roles and permissions:

  1. Go to Settings → Roles & Permissions.
  2. View or modify the permissions assigned to each role.
Permission Changes

Changes to role permissions take effect immediately for all users with that role. Review carefully before making changes.

Tips for Effective User Management

  • Keep email addresses current — Email is used for notifications, password resets, and account recovery.
  • Review pending approvals regularly — Guardians may be waiting for access.
  • Deactivate rather than delete — Always deactivate accounts to preserve data integrity.
  • Use consistent naming — Establish conventions for how names are entered to keep your user list organized.
