Schedule & Timetable
The Schedule & Timetable module lets you define your school's daily periods and create weekly timetables for each class. Once set up, timetables drive the daily schedule view for teachers and students and inform attendance tracking.
Accessing Schedule Management
- Log in as a school administrator.
- Navigate to Academic from the sidebar, then select the Schedules tab.
- Academic in the sidebar.
- The Schedules tab, alongside Classes, Subjects, Assignments, Calendar and Promotions.
- Overview — the weekly grid for all classes (open by default).
- Periods — define the daily time slots.
- Timetable — assign subjects to periods for one class.
Tabs Overview
The Schedule Management page has several tabs. Three of them are covered in this guide:

Managing Periods
Periods define the structure of a school day — when lessons start and end, and when breaks occur.
Creating a Period
- Go to the Periods tab.
- Click Add Period.
- Fill in:
- Name — A descriptive name (e.g., "Period 1", "Morning Break", "Lunch").
- Start Time — When the period begins (e.g., 08:00).
- End Time — When the period ends (e.g., 08:45).
- Order — The position in the daily sequence (1, 2, 3, etc.).
- Is Break — Toggle on if this is a break period rather than a lesson.
- Active — Whether this period is currently in use.
- Click Save.
Editing a Period
- Find the period in the table.
- Click the Edit icon.
- Update the details.
- Click Save.
Deleting a Period
- Click the Delete icon next to the period.
- Confirm the deletion.
If a period has timetable entries assigned to it, you should reassign those entries before deleting the period.
Typical Period Structure
A typical school day might look like this:

Creating Timetable Entries
Once periods are defined, you can assign subjects to specific periods and days for each class.
Adding a Timetable Entry
- Go to the Timetable tab.
- Select the class from the dropdown.
- Click on an empty cell in the grid (intersection of a day and period).
- Select the class-subject — this determines both the subject and the assigned teacher.
- Optionally enter a room number.
- Click Save.
The entry appears in the grid showing the subject name, teacher, and room.
Editing a Timetable Entry
- Click on an existing entry in the grid.
- Update the class-subject or room.
- Click Save.
Removing a Timetable Entry
- Click on an existing entry.
- Click Delete or clear the assignment.
Conflict Detection
The system automatically detects scheduling conflicts:
- Teacher conflicts — If a teacher is assigned to two different classes at the same time.
- Room conflicts — If two classes are assigned to the same room at the same time.
Conflicts are highlighted with warning indicators so you can resolve them.
Before creating timetable entries, make sure you have assigned subjects to classes and teachers to class-subject pairings on the Classes page. The timetable uses these assignments to determine which subjects and teachers are available for each class.
Weekly Overview
The Overview tab displays the full weekly timetable grid for any class:
- Go to the Overview tab.
- Select a class from the dropdown.
- The grid shows the entire week with all periods and assigned subjects.
The overview uses colour-coded cells based on subject colours for easy visual identification. Break periods are displayed differently from lesson periods.
Week Navigation
Use the week navigation controls to view timetables for different weeks. This is useful for checking schedules around holidays or special events.
School Days Configuration
The timetable respects your school's configured school days. If your school operates Sunday to Thursday, the timetable grid will show those days instead of the traditional Monday to Friday.
Tips
- Set up periods first — Define all periods before creating timetable entries.
- Use consistent period names — Stick to a simple naming convention (e.g., "Period 1", "Period 2") for clarity.
- Check for conflicts — After building the timetable, review any conflict warnings and resolve them before the term begins.
- Consider teacher workload — When assigning subjects to periods, try to avoid giving teachers back-to-back lessons all day without breaks.
- Update for each term — If your timetable changes between terms, remember to update the entries. The timetable is linked to the current academic year.
- Communicate the schedule — Once the timetable is finalised, teachers and students will see it in their Schedule view. Make sure to notify them when changes occur.
