Parents Evening

Tawaasal's parents evening feature lets you manage your appointment slots so guardians can book time to meet with you. You control your availability, and the system handles scheduling and notifications.

Accessing Parents Evening

1. Navigate to Events from the sidebar.
2. Look for events of type Parents Evening.
3. In the Actions column of that event's row, click View Schedule to see your appointment slots.

Understanding Appointment Slots

When a school administrator creates a parents evening event, appointment slots are automatically generated for each teacher based on the event's time range and slot duration. For example, if the event runs from 4:00 PM to 7:00 PM with 10-minute slots, you will see a series of time slots throughout that window.

By default, all slots are set to Unavailable. You must mark the slots you are available for before guardians can book them.

Setting Your Availability

1. Open the parents evening event.
2. Switch to the Manage Availability tab.
3. You will see your list of time slots for the evening.
4. For each slot, toggle between:
   • Available — You are free during this time and guardians can book it.
   • Unavailable — You are not available during this time.
5. Your changes are saved automatically.

Plan Breaks

Consider leaving a few slots as unavailable between appointments to give yourself time for notes or a brief break.

2. 2View Schedule shows your slots and their current status.
3. 3Manage Availability is where you toggle each slot Available or Unavailable.

Viewing Your Booking Schedule

The View Schedule tab is where your booking schedule appears. Once guardians start booking appointments, it will show:

• The time of each appointment.
• The guardian who booked it.
• The student the meeting is about.
• Any notes the guardian has added.
• The appointment status (Confirmed, Cancelled, or Completed).

Slot Statuses

Status	Meaning
Unavailable	You have not marked this slot as available. Guardians cannot book it.
Available	You are available and guardians can book this slot.
Booked	A guardian has booked this slot.
Cancelled	A booking was cancelled and the slot is available again.

Meeting Types

Parents evenings can be configured as either:

• In Person — Meetings take place at the school. The event will show the location.
• Video Call — Meetings happen online. A meeting URL will be provided.

Check the event details to see which type applies and any additional meeting instructions from the administrator.

On the Day

• Review your schedule before the event starts so you know who you are meeting and about which student.
• Read any notes guardians have left in advance.
• If a meeting is via video call, test the meeting link beforehand.

Booking Deadline

Guardians must book before the booking deadline set by the administrator. After the deadline, no new bookings can be made. If a guardian contacts you about a last-minute meeting, ask the school administrator for assistance.

Tips

• Set availability early — Mark your available slots as soon as the parents evening is created so guardians have maximum time to book.
• Update availability promptly — If your schedule changes, update your slot availability so guardians see accurate information.
• Prepare for each meeting — Review the student's grades, attendance, and any notes before the parents evening.
• Stay on time — With fixed slot durations, punctuality is important. If a discussion needs more time, suggest a follow-up meeting through the Messages feature.
