Student Promotions

At the end of an academic year, Tawaasal allows you to recommend students for promotion, retention, conditional promotion, or graduation. Your recommendations go through an approval workflow where a school administrator reviews and approves them.

Accessing Promotions

  1. Navigate to Recommendations from the sidebar.
  2. You will see a list of your promotion recommendations, organised by status (Draft, Submitted, Approved, Rejected, Returned).
  1. Open Recommendations from the sidebar.
  2. Filter the list by status.
  3. Create Recommendation starts one for that student.

Creating a Recommendation

  1. Click Create Recommendation next to the student in the list.
  2. Fill in the details:
    • Student — Shown for the student whose row you clicked; it cannot be changed from this dialog.
    • Recommendation Type — Choose one of:
      • Promote — Student moves up to the next grade level.
      • Retain — Student stays in the same grade for another year.
      • Conditional — Student is promoted but must meet specific conditions.
      • Graduate — Student is completing their final grade.
    • Notes — Provide a justification for your recommendation. This is mandatory.
  3. Click Save to create the recommendation as a draft.
  1. Choose the Recommendation Type.
  2. Write the justification in Notes — required.
  3. Save creates the recommendation as a draft.
Documentation Required

If you are recommending retention or conditional promotion, you must provide supporting documentation before submitting. This may include evidence of academic performance, meeting notes, or intervention records.

Submitting for Approval

  1. Open a draft recommendation by clicking on it.
  2. Review the details to ensure everything is accurate.
  3. Click Submit to send the recommendation to the school administrator for review.

Once submitted, the recommendation status changes to Submitted and you will not be able to edit it unless it is returned to you.

Recommendation Statuses

StatusMeaning
DraftYou have created the recommendation but not yet submitted it. You can still edit it.
SubmittedThe recommendation is awaiting administrator review.
ApprovedThe administrator has approved your recommendation.
RejectedThe administrator has rejected the recommendation.
ReturnedThe administrator has sent the recommendation back to you for revision. You can edit and re-submit it.

Revising a Returned Recommendation

If an administrator returns your recommendation:

  1. Open the recommendation — it will show the status Returned.
  2. Review any feedback the administrator has provided.
  3. Edit the recommendation to address the feedback.
  4. Click Submit to re-submit.

Conditional Promotion

When you recommend a student for conditional promotion:

  1. After the recommendation is approved, specific conditions are created (for example, "Complete summer revision programme" or "Pass re-sit exam by September").
  2. Each condition has a due date and must be marked as completed before the promotion is finalised.
  3. You may be asked to provide evidence or confirm when conditions are met.

Tips

  • Submit early — Do not wait until the last minute. Administrators need time to review all recommendations.
  • Be thorough — Provide clear, factual justification in your notes. Include references to grades, attendance, and any interventions.
  • Prepare documentation — For retention or conditional recommendations, gather supporting evidence before creating the recommendation.
  • Check for updates — After submitting, check back regularly to see if the administrator has approved, rejected, or returned your recommendation.
  • One per student — You can only create one recommendation per student per academic year. If you need to change your recommendation, edit the existing draft or wait for a returned recommendation.
