Parents Evening

Tawaasal lets you book appointments with your children's teachers during parents evening events. You can browse available time slots, select the ones that suit you, and manage your bookings.

Accessing Parents Evening

  1. Navigate to Events from the sidebar.
  2. Look for events of type Parents Evening.
  3. Click on the parents evening event to see available booking options.
  1. Open Events from the sidebar.
  2. Filter the list to Parents Evening events.
  3. Click the event to see its booking options.

Opening the event shows its details, any instructions from the school, and (once you have booked) your appointments for it — with a Book Appointment button, or Reschedule if you already have one.

Booking an Appointment

  1. Open the parents evening event and click Book Appointment.
  2. You will see each teacher who has available slots, with their time slots listed underneath.
  3. Click on the time slot you want.

  2. Available slots for each teacher — click one to open the booking window.
  3. Repeat for any other teacher you want to meet.
  1. In the booking window that opens:
    • Select Student — only asked if you have more than one child at the school; the teacher must be your child's class teacher. With one child this is filled in for you.
    • Optionally add Notes — include any topics you would like to discuss so the teacher can prepare.
  2. Click Confirm Booking.
Book Early

Appointment slots are available on a first-come, first-served basis. Book as early as possible to secure your preferred time.

Viewing Your Bookings

Open the parents evening event to see your appointments for it:

  • Teacher — Which teacher you are meeting.
  • Student — Which child the meeting is about.
  • Time — The start and end time of the appointment.
  • Meeting Type — In Person (with the location) or Video Call (with the meeting link).
  • Notes — Any notes you added, if you added any.

Each appointment also has an Add to Calendar button that downloads it as a calendar file. Only your current, confirmed appointments are listed here — a cancelled appointment simply disappears from the list rather than staying with a Cancelled status.

Cancelling an Appointment

If you can no longer attend:

  1. Open the parents evening event and click Reschedule to reach your bookings.
  2. Find your booked appointment and click the cancel () button next to it.
  3. Confirm the cancellation.

The slot will be released and made available to other guardians.

Cancellation Timing

Try to cancel well in advance if you cannot attend, so the teacher and other guardians can make use of the freed slot. After the booking deadline, you may not be able to cancel.

Rescheduling

To reschedule an appointment:

  1. Open the parents evening event and click Reschedule to reach your bookings.
  2. Find your booked appointment and click its Reschedule button. The page enters reschedule mode.
  3. Click a new available slot.
  4. Confirm the new time in the dialog that appears.

This is only possible if other slots are still available and the booking deadline has not passed.

Meeting Types

Parents evenings can be held:

  • In Person — Meetings take place at the school. The event details will show the location.
  • Video Call — Meetings happen online. A meeting URL will be provided in the event details.

Check the event information to confirm the meeting type and any instructions from the school.

Booking Deadline

Each parents evening has a booking deadline set by the school. After this deadline:

  • No new bookings can be made.
  • Existing bookings cannot be cancelled.

Make sure to book before the deadline.

Tips

  • Prepare topics in advance — Use the notes field when booking to let the teacher know what you would like to discuss. This helps them prepare for a productive meeting.
  • Arrive on time — Appointment slots are short (typically 10 minutes), so punctuality is important.
  • Book for all children — If you have multiple children, book separate appointments for each child's teacher.
  • Follow up — If the meeting raises topics that need further discussion, send a message to the teacher through the Messages feature afterwards.
